Privacy Policy

Last updated:

Southern Oak Exteriors (also presented on this website as Southern Oak Exteriors & Remodeling, “we,” “us,” or “our”) uses information you provide to respond to inquiries and coordinate exterior improvement projects. This policy explains how we handle information collected through this website and our customer communications.

Information we collect

  • Contact and project details: your name, phone number, email address if provided, project type, and any details, property address, or photos you choose to share during an inquiry or project.
  • Communication records: messages, correspondence, and information needed to schedule estimates and coordinate work.
  • Texting preferences: your opt-in choice, the disclosure shown to you, and available records of when and how you gave or withdrew consent.
  • Website and device information: information such as IP address, browser and device type, pages visited, referral information, and interactions with our website that our hosting and measurement providers may process.

Do not send payment card information, Social Security numbers, or other sensitive personal information through the estimate form or text messages.

How we use information

We use information to respond to your request, prepare estimates, schedule appointments, coordinate projects, provide customer support, maintain business and consent records, improve website performance, and protect against spam or misuse. Submitting an estimate request allows us to follow up about that request by phone or email, if provided. Our optional SMS checkbox separately records your choice to receive project-related texts.

Text messages and your choices

When you opt in, Southern Oak Exteriors may text you about estimates, appointments, and project updates. Message frequency varies based on your request and project. Message and data rates may apply. Texting consent is optional and is not a condition of requesting an estimate or purchasing services.

Reply STOP to opt out or HELP for help. You can also contact us using the details below. After you opt out, you may receive one confirmation message. We will stop further texts unless you opt in again. Asking us to stop calls or emails is separate from texting STOP; contact us to update those preferences.

If you text us first, we may respond to that specific inquiry. A project inquiry or project-text opt-in does not enroll you in promotional text campaigns. See our SMS Terms for more details.

How information is shared

We use service providers to operate the website and handle inquiries. These include Vercel for website hosting, Formspree for estimate-form processing, email services for correspondence, and Quo and its communications providers for business calling and texting. Information needed to perform these services is processed by those providers.

We do not sell or share mobile phone numbers, SMS opt-in data, or texting consent with third parties or affiliates for their marketing or promotional purposes. Providers that process this information on our behalf may use it to deliver and support the communications you requested, not for their own marketing.

We may disclose information when required by law or necessary to protect our customers, our business, or the security of our services. These disclosures do not authorize another business to use your texting consent for marketing.

Website measurement, advertising, cookies, and maps

We use Google Tag Manager to manage website tags and Google Analytics 4 to understand visits and actions such as estimate requests and clicks on call or text links. These tools use cookies or similar technologies and process website and device information.

We use the Meta Pixel to measure page visits and successful estimate requests and to support advertising on Facebook and Instagram. Meta and other third parties may use pixels, web beacons, cookies, and similar technologies to collect or receive information from this website and elsewhere on the internet. Meta uses that information to provide measurement services and to target and deliver ads. Information may include pages visited, referral URLs, browser and device information, IP addresses, cookie identifiers, and whether an estimate request succeeded. Meta may associate this activity with your Meta account.

We do not send names, email addresses, phone numbers, project details, or texting consent from estimate forms in custom analytics or Meta events. Meta automatic advanced matching and automatic event detection are disabled in our setup. An estimate request is recorded as a Lead only after our form provider confirms receipt.

Your advertising choices

You can manage Meta's use of activity from other businesses in Meta Ad Preferences. You can also access advertising opt-out tools through the Digital Advertising Alliance and Your Online Choices. These choices may depend on your browser, device, region, or account and do not necessarily stop all data collection.

Our Meta Pixel tags do not send PageView or Lead events when your browser sends a Global Privacy Control signal. You can also block cookies or tracking scripts in your browser. Blocking cookies or scripts may affect some website features. Texting consent is separate from website cookies and advertising choices.

Embedded Google Maps content may send device and connection information to Google when it loads. Our hosting provider processes technical information needed to deliver and protect this website.

For information about these providers' practices, see Google's Privacy Policy, Meta's Privacy Policy, Formspree's Privacy Policy, Vercel's Privacy Policy, and Quo's Privacy Policy.

Retention and security

We retain information as needed to respond to inquiries, provide services, maintain business records, document consent and opt-outs, and meet legal obligations. Retention depends on the purpose and applicable requirements. Consent and opt-out records may be kept after you stop receiving messages so we can honor your preferences and document prior permission.

We use reasonable safeguards to protect information, but no website, email service, or communication system can guarantee complete security.

Access, corrections, and deletion requests

Contact us to request access to, correction of, or deletion of your information, or to change your communication preferences. We may need to verify your identity before acting. We will address requests as required by applicable law; some information may need to be retained for legal, project, or recordkeeping obligations.

Children and external websites

Our services are intended for adults arranging property improvements. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has submitted information. Links to other websites are governed by those websites’ own policies.

Policy updates

We may update this policy as our services or practices change. The date at the top identifies the latest version. We will provide additional notice when required. Updating this policy does not expand the scope of an existing texting opt-in.
